Maintenance agreement for licensed vehicles

The Maintenance Agreement is for departments to have a standard monthly charge to cover preventative and routine maintenance to their vehicles. Proper maintenance helps protect your vehicle from unnecessary repairs and breakdowns, keeps vehicles running at optimal performance, and provides a safe environment for staff drivers.

Preventive maintenance services

Preventive maintenance will be performed and scheduled according to the manufacturer’s specifications and includes:

Check fluid levels
Rotate and check the condition of tires; ensure proper inflation
Check lights, replace if needed
Check the general condition of the vehicle
Change oil and filter
Check front & rear brakes (pull wheel)
Check universal joints and lubricate
Check windshield wipers
Check all seals
Perform NYS inspection and registration

A preventive maintenance schedule and list of services will be provided upon acquisition. If fleet management determines there is excessive wear and tear, the cost would be charged to the department.

Maintenance and repairs covered

Annual Insurance Coverage

Covers every vehicle with a license plate. The rate typically increases 5% each year and is built into the maintenance agreement rate.
A $500 deductible applies to each claim and is the department’s responsibility.
The University’s comprehensive and collision insurance only covers vehicles that are five years old or newer.
The Auto Shop files insurance claims and coordinates repairs with our collision vendor.
