University approved caterers and food trucks

Caterers must meet specific requirements in order to serve food on University property. Caterers shown below are those who have demonstrated the willingness and ability to meet the University’s wide variety of catering needs, or who are recognized as excelling in a unique food service.

Should there be a need to select a caterer not on the Approved Caterer List, please complete a Catering Waiver Application at least 30 days prior to your event. Submitting a waiver application is not a guarantee of approval of the caterer.  The event location will determine to whom you need to send or fax the form.

Please contact the caterer directly with questions about the services they are able to provide.

Medical Center

Food and beverage services in the Medical Center are available from Food & Nutrition Services (275-3392).  For assistance hosting an event, The Center for Experiential Learning Events Planning team is available for any event at the Medical School, UR School of Nursing or the Saunders Research Building.

University

Food and beverage services at the University of Rochester are available from University Dining Services (275-0852 or 275-7687). For assistance organizing an event, the Department of Events and Classroom Management (275-4111) is available for any event on River Campus.

Student Events

For all student sponsored events which will include food and beverages, please have the Student Advisor contact the Wilson Commons Student Activities Office at 275-9390 for assistance with the process to review and approve food plans.

Food trucks must meet specific requirements in order to serve food on University property. In addition:

• Approval is required from the University Sanitarian’s Office for your event at least 14 days prior and there is a processing fee of $30 and an additional $10 if submitted late.
• Only department funded or student group funded events are eligible to utilize food trucks.
• A pre-arranged cost agreement with the truck vendor is required and should be paid by the Department or Student Group. No money should be exchanged between the vendor and customers.
• To sell food to the public, the food truck must be part of a larger community wide event such as Yellow Jacket Day or Dandelion Day.

The food truck vendors shown below are those who have met the University Sanitarian’s Office specific policies, requirements, and guidelines to serve food at the University.

Exceptions

Should there be a need to select a food truck vendor not on the Approved Food Truck List, please include the name of the food truck vendor and the specific reasons for this exception on the form. A higher processing fee ($50) is required. Only for very specific religious or ethnic reasons will a vendor be allowed that is not on the pre-approved list. Submitting this application is not a guarantee of approval of your event or of the food truck vendor.

Additional Requirements

The Medical Center, River Campus, Eastman School and other University locations each have specific policies, guidelines and requirements for the use of food trucks, including designated parking locations and number of people in attendance. Please refer to each location’s policies before filling out the approval form.

Failure to pay for the approval and/or failure to acquire the permit itself, will disqualify that department or organization from being allowed to have the Food Truck Vendor on site until the approval fee is paid for and official approval is obtained by that department or organization.
